(“iCARE”) provides solution services to protect and create the health of working people, under the company's mission statement, “Creating health for working people around the world. To promote health management, the company focuses on three main businesses: Carely, a cloud-based health management system; referral services for industrial physicians and public health nurses; and health management consulting. Carely provides centralized management of health data to improve operational efficiency and build a data base for improving health conditions, and supports corporate health management systems through the introduction of industrial physicians and consulting services. We also promote the creation of an environment in which companies and workers can aim for a sustainable future centered on health through our unique solutions that combine technology and expertise. In this context, the company utilizes a scheduling solution for communication with customers, and since there were security issues and support concerns with the previous tool, the company considered switching. The decision was made to implement Jicoo as a solution due to the tool's ease of use and security. The company has achieved a significant reduction in running costs and an increase in customer contact points.

Problem
Security issues in existing services and discrepancies in business requirements are becoming more serious.

iCARE had been using a different scheduling tool to coordinate schedules with people outside the company, but a serious security problem of a level that could lead to information leakage occurred in the service they were using. Bugs on the management screen and account malfunctions occurred multiple times, and as a company that manages personal information of customers (including sensitive personal information), this was a problem that could not be overlooked in terms of data security and confidentiality obligations. The support system also lacked a sense of security, as it did not respond to inquiries in a simple manner and did not adequately address critical issues. In response to these problems, the company decided to launch a project to investigate alternative tools. Given the difficulty in finding a solution that could replace all of the work that was being done with the existing tool, it was necessary to find a means to enable more efficient and flexible scheduling, while focusing on the usability and security aspects of the tool.

Decision to introduce “Jicoo” for both security and flexibility

After considering multiple alternatives to replace the work of existing tools, Jicoo was selected. With Jicoo, we are now able to flexibly support different online conferencing tools (Google Meet, Zoom, Microsoft Teams, etc.) for each client. This has allowed for smooth coordination according to each client's IT environment. In addition, the intuitive operation of the system has resulted in low learning costs and greatly reduced the risk of misconfiguration. In particular, Jicoo's very generous support system was highly appreciated for its quick and courteous response to any questions after implementation. The reservation page function allows individual scheduling for each client, which has improved the efficiency of the scheduling process. The decision was also supported by the growing appreciation of the tool on Slack and strong recommendations for its implementation from both the Customer Success Department and the Employee Success Department.

The introduction of Jicoo has greatly reduced the time and man-hours required for schedule coordination. In addition, compared to the previous tool, Jicoo can now handle more than double the number of adjustments and has dramatically improved operational efficiency. The configuration errors and security risks that occurred with the previous tool have been virtually eliminated, and employees now have a greater sense of security. In addition, running costs have been reduced by 70% compared to the previous tool, providing a significant cost advantage. Furthermore, meetings booked through Jicoo now account for 100% of the meetings in the department, and the scheduling process has completely shifted to a tool-based system. As a result, errors such as double-booking and missed appointments due to the calendar linkage function have been eliminated, leaving employees free to focus on their core business. The intuitive UI has low learning costs and speeds up the start-up process for new team members. In this way, the implementation of Jicoo has yielded significant results in terms of operational efficiency, cost reduction, and safety improvement. We will continue to utilize Jicoo to promote efficient operations and further expand our business performance.
