Best Practices for Routing Forms

Routing forms are a powerful feature for guiding visitors to the right meeting at the right time.

Keep questions to a minimum.

It's obvious, but the more questions a form has, the more effort it takes for people to fill it out. This can lead to lower conversions.

Gather only the important information needed in the scheduling process. Also, consider, "What information do I need to contact you again if they don't book?

Ask questions clearly.

Define your question using the simplest terms possible, rather than unnecessarily long phrases or sentences. For example, use "email address" as the field name instead of "What is your email address?

Use a form when scheduling.

In addition to the routing form, you can use the form on the reservation page at the time of scheduling to collect detailed information at different stages. Design the routing form so that the input load can be distributed by structurally dividing the steps, for example, by limiting the routing form to obtaining information necessary for routing and contact, and encouraging the input of more detailed information on the reservation page.

Utilize the round-robin feature on the reservation page

Routing forms can be used to route to individual or group reservation pages for a team.

If a visitor to a routing form may be routed to more than one team member, the round-robin feature allows Jicoo to automate the task of finding the corresponding available members. For more information on the round-robin feature, see Help Center article.

Personalize your thank you page

For visitors who do not route to book meetings, consider how to personalize the completion page they are ultimately routed to.

Prevent meeting bookings that don't lead to results

To ensure that only visitors with business-use email domains can book meetings, set up routing logic that prevents scheduling with free email addresses such as Gmail or Yahoo.

  1. go to the "Forms" tab from the Jicoo Dashboard Home
  2. create a new routing form by selecting "Edit" from the menu button of the routing form you wish to edit or by selecting "Add Form".
  3. add "Email Address Entry Form" to the form items in the basic settings and make it mandatory.
  4. you can also edit the name of the item to be more specific, stating "Email address used for business".
  5. from the "Routing" tab, select "Add Route" to create a new route.
  6. select the email address entry from the first select box and in the drop down box, select "Include" and add the domains you wish to include in the next box. Examples: Gmail, Yahoo, Hotmail
  7. select "Done Page" from the induction settings at the bottom and set the message to be displayed in a manner appropriate to the visitor.
  8. "Save" the routing settings.
